Walkthrough
Invite teammates and join a workspace
Invite someone to your Team workspace so they can use its shared plan and the features you grant them. This guide follows both sides: the admin sends an invitation, then the teammate uses it to join.
Before you begin
- Admin: use a Team workspace where you have permission to invite members and an available paid seat. Each member uses one seat; an unused invitation also reserves a seat.
- Teammate: use your own Org Loom account. If you do not have one, complete signup when you follow the invitation link.
An invitation is a single-use link with a matching short code. It expires after one week. Joining a workspace does not automatically share its saved canvases or grant Salesforce access: canvas sharing and your Salesforce connection are separate.
Step 1: Admin — create and send an invitation
- Open the account and workspace menu in the upper-right corner. Check that the intended Team workspace is selected, then click Settings.
- Select the Workspace tab and find Member invitations.
- Under Invite someone, click Create invitation.
- Click the copy icon beside Invite link and send that link to your teammate. Alternatively, copy and send the short code shown below it. Org Loom displays the invitation for you to share; it does not send an invitation email for you.
If all seats are used or reserved, add a seat through Billing or revoke an unused invitation before creating another. Open invitations appear under Outstanding invites; use Revoke if a link is no longer needed.
The Require approval to join workspace setting controls what happens after your teammate uses a valid invitation. When enabled, you must also approve their request in step 3. When disabled, they join immediately.
Step 2: Teammate — use the invitation
Open the invitation link from the admin and sign in to your own Org Loom account when prompted. If you were given only a code, sign in, open the upper-right account and workspace menu, click Settings, and select the Account tab. Under Join workspace, paste the code and click Join.
If approval is not required, Org Loom confirms that you joined and switches to the Team workspace. Otherwise, it shows a pending request; ask the admin to complete the next step. If the invitation has expired, been revoked, or already been used, ask for a new one.
Step 3: Admin — approve the request, if required
Return to Settings → Workspace for the Team workspace. Under Member invitations, find Pending join requests, check the teammate's name and email, and click Approve. This list appears only when there are requests waiting for a decision.
After approval, the teammate can select the Team workspace from the upper-right account and workspace menu.
Step 4: Admin — check membership and feature access
In the Workspace tab, find the teammate in Members. Keep the member role unless they need to administer the workspace. Click the button showing their permissions count to expand the list of features, then grant the features they need.
For example, a teammate who will find and load Salesforce records needs Browse records and Import via SOQL. They still need to connect their own Salesforce user, whose Salesforce permissions determine which records and fields they can access.
To work on the same saved canvas, its owner must also share that canvas with the teammate.
Switch between workspaces
Open the upper-right account and workspace menu and select a workspace by name. The selected workspace determines your feature permissions, usage allowance, and Salesforce-org restrictions. Joining a Team workspace does not remove your other workspace memberships.
If someone no longer needs access
An admin can remove them from Members. A non-owner can instead choose Leave this workspace at the bottom of the Workspace tab. This removes workspace access, not the person's Org Loom account or Salesforce records. The last admin must make someone else an admin before leaving.
